How people can join a Zoom meeting
People can join a Zoom meeting in two main ways
1. The most common and simplest: click a Zoom link (which opens or launches Zoom automatically) …
2. Open Zoom yourself and manually enter the ID and passcode …
From your computer/laptop …
or from a phone …
If people have difficulty joining, you may want to allow them to dial in with a regular phone, so at least they can hear the event

You can generate/copy this from your Zoom program/App (under the Meetings tab) …

What should you put in an invite?
- The link to join
- The ID and passcode
- Date and start time and end time (if an international event, then identify the timezone)
- What they can expect from the event
- Anything they need to prepare or have available
- A contact in case of questions or any difficulties joining)
When to send out invites?
Consider sending a number of “invites” out
Marketing/invitation to join emails
We recommend you invite people to your event once or twice. Any more and people may start to resent receiving too many emails from you.
Try to put something of value in to the emails that is separate from the event. Information, an offer, advice or perhaps even something entertaining.
Confirmation emails
When they book (if relevant – so people know they have a place).
2-3 weeks before the event
- Reassures people that they have all the relevant info
- Helps ensure it’s in their diaries
Send a reminder the day before or on the day
- Makes it easier for people to find the email (rather than having to search back through old emails)
- Some people will have forgotten and/or lost interest – this can improve your attendance
