What you can expect to get …

When you are PLANNING the event

Ensure your event is more: professional looking  ●  interesting to be in  ●  and effective

Know what can and can’t be done with Zoom (on its own and with other 3rd party apps/programs)

Know how to increase participant interaction/involvement and when to use which method for which part (raised hand, chat, Q&A, poll etc. ).

Know which features and tools work best (based on your event’s intentions, content, duration, numbers, style etc.)

Avoid common pitfalls (in invitations, in pre-event information and for the event itself)

LEADING UP TO the event

Get the information right for people (in invitations and the registration stage) so everyone arrives prepared and with the right expectations

Ensure you have the correct Zoom settings (including Recording and Security settings)

Have your Host, co-hosts, speakers fully trained, practised and confident before the event

Support you in creating check lists for all key players (roles, responsibilities, jobs to do, things to watch out for etc)

Ensure everyone knows what pitfalls to avoid (e.g. pausing recording during Breakout Rooms)

Set up a separate, backup communication link (separate from Zoom) for the key people (host, co-hosts, speakers)

Do a basic “risk assessment” and put in place plan B’s in case of missing speakers, technological problems etc. (e.g. ensure at least 2 people have a copy of any slideshow)

RUNNING the event

Depending upon the skills and experience you have in-house, we can provide support at the appropriate level:

FROM – just being on call for emergencies
TO – being present, monitoring chat, participants etc
TO – managing slide shows, Breakout Rooms, etc
TO – facilitating/managing questions and comments
TO
– chairing discussion groups

Specifically, we can:

  • Provide technical support – at the start (especially for connection problems) and if necessary during the event (for host and participants)
  • Guide participants to get the best from their experience (for example, how to hide “self-view”, raise a “digital” hand, turning tablets/phones on their side for slideshows, and lots more)
  • Guide participants in using 3rd party programs (as ice-breakers, group bonding, to brainstorm, to gather and optionally vote on ideas or questions)
  • “Spotlight” speakers as needed
  • Manage Breakout Rooms
  • Manage slideshows (“next please” or automatic with a script)
  • Manage polls
  • Manage Security (muting participants as needed, removing any disruptive or unwanted people)
  • Manage Recording (including pauses and restarts)
  • Set up a “Remote Access” link into your or a co-host’s computer – so, if needed, I can log in and sort out problems within seconds
AFTER the event

Reports – of who attended and for how long, results of Polls

Managing the recording – so it is easily accessible for people

Editing the recording – to highlight important sections or cut out unrequired sections

Sharing resources – making content and resources available to participants by uploading to cloud (via Google Drive, YouTube, your website and other options)

Massimo has been using and providing support for Zoom since 2010.

He supports people and organisations using Zoom in practical and creative ways to get the job done. His joy is finding creative ways to add extra value, interest and interaction in what can otherwise be rather boring online events.

He is as comfortable behind the scenes managing the technology and making sure everything runs smoothly, as he is training individuals and organisations; handling an emergency in a live event; or hosting and compèring.

He is also a professional IT trainer (with more patience than you’ll need), with experience in groupwork, communication skills and coaching.
